On-line entry for groups

OK Nopers - one of you usually has an answer so let’s see if you can help us out.

In the good old days everyone enter events by post & the entry secretary typed you onto your course . Now the norm is for on-line entry (what do the entry secretaries now do? )

I regularly enter 30 – 50 juniors for the school. Until now I sent the entry in by post (or recently by email) and entry secretaries have been very understanding. Now they have had enough and have requested that we also do on-line entry .

BUT the school very strongly advises that we do not put money through our personal bank accounts and on-line entry can only be done by debit/credit card. We have asked our bank if we can have a club debit card, but because there has to be 2 signatures this is not possible,

So what can we do?

I am doing the entries for the St Andrews Weekend 2012 and I expect to take 2-3 hours sorting out start times. The allocation is easy and takes about 30 seconds, its all the special requests that are a pain to sort out.

So what can we do?

If you were trying to enter one of our events, I would email you a csv file which can be filled in, once returned it can be upload to fabian4 (I don't know about other online entry systems). I would ask for payment to be made by BACS direct into our club bank account.

I'm unclear what your role is here. Are you a teacher and therefore an employee of the school (Council) or is your role as a club official?

Sounds to me like this scenario needs a two stage entry process. Eg on oentries your entry stays in a pending state until payment confirmation is received. You need to get your entry in this pending state and then make no attempt at payment. Then you post a copy of the entries with the cheque (payable to the organising O club) from the school. Would that work and keep everyone happy?

I don't really see the problem with you doing postal entries. I did the entries and start times for the Scottish Champs a couple of years ago. When I received a postal entry I would just manually add the competitors in to oentries. Providing you supply a BOF no. or SI card the details were mostly in there anyway. It really didn't take long, not even for the large school entry I received (possibly yours).

Now people constantly e-mailing me to change their course or start time at the last minute - that was irritating. "Why are our start times two and a half hours apart?". "Eh, because you asked for split starts!".
